Role & team overview

 

The Contracts & Accounting Coordinator will support the Demand & Contract Management team in daily operations through interaction with vendors, IIT department and CSS teams, and ensure that financial and contractual matters are managed at high level of attention.

  

What you’ll be doing

Your main task will be managing contracts and billing tasks ensuring successful cooperation with key IIT vendors. Your day will mainly consist of:

 

  • Providing the link between Managers, vendors and Accounts Payable team to resolve issues, respond to inquiries and management documents.
  • Monitoring billing process, handling queries and solving invoice posting issues.
  • Assisting Contract specialists in data collection and company document management including contracts review, trackers and SharePoint update.
  • Preparing and organizing monthly reports regarding hardware usage and utilization.
  • Working with SAP and KIOSK systems to support Procure to Pay process.
  • Ensuring that activities within a process are being performed at a high level of quality.
  • Documenting work instructions, processes, and procedures to ensure consistency and efficiency.
  • Supporting team members in different ad hoc requests and analyses and contract query resolution;

 

We are looking for colleagues who:

The ideal candidate should be open-minded, enthusiastic person and:

 

  • Must be self-motivated and disciplined.
  • Must be able to prioritize and complete work assignments on a timely basis.
  • Must speak English communicatively (at least B2 level)
  • Must be available for at least 30 hrs per week.
  • Have strong attention to detail.
  • Have a proficiency in MS Office.
  • SAP system and Procure to Pay process knowledge would be an asset.
