PA to VPs, Western Europe Region

Join us as our new PA supporting our VP & Head of Finance and VP & Head of Commercial, in the Western Europe Region (WER). This is the perfect role for someone who thrives on organizing calendars, who has strong administrative skills, and enjoys juggling several ongoing tasks while maintaining a crystal-clear overview.

 

What you’ll be doing

Step into a Role Where Every Day is Different!

In this role, you will act as a shared Assistant to our VP & Head of Finance, WER and VP & Head of Commercial, WER. The primary focus of the role is therefore to ensure support to both VPs.

 

Your tasks and responsibility would be following:

 

  • Manage and maintain the VPs' schedules, appointments, travel arrangements and expenses.
  • Handle invoicing and all other SAP-related tasks.
  • Onboarding of new team members.
  • Manage legal documents with precision.
  • Arrange and coordinate meetings, internal & external events and visitors, and off-sites for the Leadership Teams.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Provide back-up support to the Executive Assistant to the EVP, WER.
  •  Ad-hoc tasks and everyday support

 

You will be reporting to the VP & Head of Finance, WER.

 

What we’re looking for:

We are looking for a colleague who has a minimum of 3-4 years’ relevant experience from an international organisation. You know what good PA service is and have the right competencies and mindset to offer excellent PA support to your stakeholders. Outlook management is key in this role; therefore, an excellent knowledge of Outlook's functionalities is required.

Furthermore, we imagine that you possess the following:

 

  • Excellent organisational, administrative, and communication skills.
  • Fluent in English.
  • Follow-through, diligent, service-minded, and proactive with a can-do attitude.
  • Excellent IT skills and an experienced user of SharePoint, all Microsoft Office programs, and SAP.
  • A team player, but at the same time has demonstrated the ability to take initiative and work independently.
  • Able to work under pressure, sometimes against tight deadlines, whilst maintaining a positive attitude and an eye for detail.
  • Able to keep the overview and carry out multiple tasks simultaneously, but also able to prioritize when necessary.
  • A motivated, committed professional who can offer flexibility when it comes to working hours.
